Who we are

ClareFlow is a trading name of Clarewood Capital Limited. Registered in England and Wales. Company number: 15929482. Registered office: 11 Chimney Walk, London, E15 2TP. For information we collect directly through our website, marketing and business communications, Clarewood Capital Limited is the data controller. Where we process information through a ClareFlow service on behalf of a client, the client will normally be the data controller and we act as its data processor. We are registered with the Information Commissioner’s Office under registration number ZB750461.

What we collect, and why

If you complete the form on this site, we collect your name, business name, work email address, phone number, roughly how many deals arrive in your business each month, and information you provide about your acquisition process. We use this to respond to your enquiry and prepare for the call.

If we approach your business directly, we may hold business contact details taken from public sources such as your website, Companies House or professional networks. Every message we send includes a way to tell us to stop, and we act on it.

Client service data

When we provide ClareFlow services to a client, we may process information made available through the channels connected to that client’s ClareFlow system. This can include WhatsApp messages, sender and contact details, message status information, property information, links, photographs, documents and other media or information contained in an enquiry.

We process this information on the client’s behalf to receive and organise property opportunities, present them to the client for review, support follow-up where information is missing, enable responses to enquiries, and operate and support the service we provide to that client.

Each client’s data is kept separate and is only processed for the client that authorised access. We do not use one client’s data for another client.

Website tracking

We use LinkedIn tracking technology on our website to understand website activity and measure the effectiveness of our marketing.

Who else sees it

We do not sell personal information or share it for anyone else’s marketing.

We use trusted service providers where necessary to operate ClareFlow, including providers used for hosting, communications, email, data storage, analytics, advertising measurement and systems or communication channels connected for a client. Where a client connects a service such as WhatsApp, information may also be processed by the relevant platform and communications providers as necessary to provide that service.

These providers only receive information where necessary to provide their services and are subject to applicable contractual and data-protection obligations. Client data is not shared between ClareFlow clients.

How long we keep it

If you do not become a client, we normally delete your enquiry after two years. We retain business and accounting records for as long as required to meet our legal and regulatory obligations.

Information processed as part of a client’s ClareFlow service is retained only for as long as needed to provide and support that service, meet contractual or legal obligations, or for the retention period agreed with the client. When an engagement ends, client service data is deleted or returned in accordance with the applicable agreement and our legal obligations.

Your rights

You can ask us for a copy of what we hold about you, ask us to correct it, ask us to delete it, or tell us to stop contacting you. Email info@clareflow.io and we will deal with it within one month.

Where we process personal information on behalf of one of our clients, that client will normally be responsible for responding to requests concerning that information. If you contact us about information we process for a client, we may refer the request to the relevant client and assist them where required.

If you are unhappy with how we have handled your information you can complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113. We would rather you came to us first.
